Below are a number of links, timelines, and instructions for navigating UC San Diego as a visiting or temporary faculty member.

UCSD Network Access

Shortly after completing the hiring paperwork you will receive your UCSD email address. Below are some links that will instruct you how to get yourself set-up on the various UCSD systems that you will need to access most of the online tools and materials to administer and prep your courses.

FERPA Training Module-To complete this course:

  • Go to https://uclearning.ucsd.edu/
  • Log in with your Single Sign-On username and password (Health Science/Health System employees, please select “Active Directory” from the drop-down menu on the login page)
  • Search by title or use keyword FERPA to locate this course.
  • Click green Start button next to the FERPA - Confidentiality of Student Records and Privacy Rights training.

We cannot give you access to any student information, including class lists until you have completed this online training. Email the certificate of completion to Leah once the training is complete.

Course Preparation

Below is a list of resources for preparing to teach a course. Many of the tools and links listed below will not be available to temporary faculty until your appointment begins and you have set up your UCSD network access.

Schedule of Classes-The Schedule of Classes is published the fifth week of the preceding quarter. Here you can look up where and when your class is scheduled and track the enrollments. Also, once you have Network Access and have completed the FERPA training (see above drawer), you can print your class list by clicking on the six-digit section ID number.

Book Orders-Faculty place book orders for their course with the UC San Diego bookstore. Orders are usually due by the second week of the preceding quarter(or eight weeks out from the start of classes) but are accepted later.

Posting Your Syllabus-To post your syllabus, convert it to a PDF and email it to edtech@ucsd.edu

Electronic Grades (eGrades)-UC San Diego uses eGrades to submit all grades for courses taught at UCSD.

Class Lists/Wait Lists-You will need to enter the relevant details (available via the schedule of classes) about your class in order to pull up your class list or waitlist. The department can not give you access to this information until you have completed the online FERPA Training Module (see above Network Access drawer).

Photocopying Course Materials-Course Readers for students must be prepared by the University Bookstore via MyReader (see above) or by another copy service of your choice. The department cannot duplicate course readings (we do not want to infringe on copyrights). The photocopier is located in on the 8th floor near the conference room (0846). The copy machine may be used with your ID Card. Instructions are on the wall near the copier.
